Privacy Policy
Last updated: July 26, 2026. This page is maintained by Heartland Companion to explain how we handle information for our daily companion call and safety check-in service.
Mobile Information & SMS Privacy
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Phone numbers collected for SMS notifications, emergency escalations, or account updates are used solely for Heartland Companion service delivery and critical alerts. We do not sell, rent, trade, or share user phone numbers or consent data with external marketers.
Message frequency varies based on your check-in schedule and alert activity. Message and data rates may apply. Reply STOP to any message to opt out of non-essential SMS, or HELP for assistance. Opting out of SMS may limit emergency escalation notifications.
Information We Collect
- Parent (care recipient) name, age, and general background details you provide.
- Caregiver contact details, including name and email address.
- Phone numbers for the parent and designated emergency contacts, used for automated companion calls and SMS safety alerts.
- Medication reminders, hobbies, family and pet details you add so calls feel personal.
- Call summaries, mood indicators, check-in logs, and (when opted in) call transcripts.
- Basic account and billing status information needed to run your subscription.
How We Use Information
- Delivering scheduled voice calls with the persona and topics you selected.
- Dispatching emergency SMS alerts and escalation notices to designated caregivers when a call is missed or distress is detected.
- Sending you daily recaps and weekly reports about your parent's check-ins.
- Improving call quality, safety detection, and overall service reliability.
We do not use your information, or your parent's information, to sell advertising or to market third-party products.
Data Protection & Storage
Account data, call logs, and memory notes are stored in our managed backend infrastructure (Supabase/Postgres) with row-level access rules so each caregiver account can only reach its own records.
Data is encrypted in transit using TLS and encrypted at rest by our hosting provider. Access to production systems is limited to personnel who need it to operate the service. Voice and messaging delivery is handled by our telephony and voice providers (Twilio and ElevenLabs) strictly to place calls and send the messages you request.
Sharing of Information
We share information only with service providers that make the product work — telephony, voice, hosting, and payment processing — and only to the extent required to deliver the service. We never sell personal information, and, as stated above, mobile opt-in and SMS consent data is never shared with any third party.
We may disclose information if required by law or to protect the safety of a person in an emergency.
Data Retention
Call logs and summaries are retained while your account is active so you can review trends over time. When you delete your account or a parent profile, associated records are removed from our systems.
Your Rights
- Request a copy or deletion of your data at any time.
- Update or remove emergency contacts and phone numbers from your dashboard.
- Pause or cancel calls instantly from your dashboard.
- Opt out of non-essential communications by replying STOP or emailing us. Essential account and safety notifications may continue while your account is active.
Children's Privacy
Heartland Companion is intended for adults. We do not knowingly collect information from anyone under 18.
Changes to This Policy
We may update this policy as the service evolves. Material changes will be reflected in the "Last updated" date above.
